Use function key shortcuts

The functions that the function keys in Microsoft Word carry out vary depending on the operating system. For both the Windows and Mac versions of Microsoft Word, these are the standard function keys:

Windows

1.       F1: to access the Help menu.

2.       F2: Edit the currently selected text or item.

3.       F3: to add an auto text input.

4.       F4: Perform the last action again (alternatively, use Ctrl or Shift for various results).

5.       Press "Find and Replace" dialogue box by pressing "F5".

6.       F6: Go to the following frame or pane.

7.       Run the grammar and spelling check by pressing F7.

8.       Extend the current selection by pressing F8.

9.       F9: Update the fields you've chosen.

10.   Press F10 to open the menu bar.

11.   Press the "Visual Basic for Applications" editor's shortcut, F11.

12.   F12: Open the "Save As" dialog box. 

Mac:

1.       Fn + F1: Brightness down.

2.       Fn + F2: Brightness up.

3.       Fn + F3: Exposé (show desktop).

4.       Fn + F4: Launchpad.

5.       Fn + F5: Keyboard brightness down.

6.       Fn + F6: Keyboard brightness up.

7.       Fn + F7: Previous track.

8.       Fn + F8: Play/pause.

On a Mac, you must press the "Fn" key in addition to the desired function key in order to use the conventional function keys in Microsoft Word.

Navigate the document

Here are the shortcuts for navigating through a document in Microsoft Word on both Windows and Mac: 

For Windows

Move by Word:

Ctrl + Right Arrow: Position the cursor at the start of the following word.

Ctrl + Left Arrow: Position the cursor at the start of the word before this one.

 Move by Paragraph:

Ctrl + Up arrow: Position the cursor at the start of the preceding sentence.

Ctrl + Down arrow:To move the pointer to the start of the following paragraph,

Go to the Beginning/End of a Line.

 Home: Start the current line's first character with the cursor.

End: Place the cursor at the end of the current line by pressing End.

Move to the Document's Beginning or End:

Ctrl + Home: Start the document from the beginning with the cursor.

Ctrl + End: Advances the cursor to the document's end. 

If headers are defined in the document, move to that heading: 

Shift + Ctrl + N: Go to the following heading.

Ctrl + Shift + P: To return to the previous heading.

 

For MAC: 

Move by Word

Option + Right Arrow: Position the cursor at the start of the following word.

Option + Left Arrow: Position the cursor to the start of the word before this one.

Change the paragraph: 

Option + Up arrow: Position the cursor at the start of the preceding sentence.

Option + Down arrow: Start the next paragraph's first sentence with the cursor.

Go to the Beginning/End of a Line: 

Move the pointer to the start of the current line by pressing Command + Left arrow.

Move the cursor to the end of the current line by pressing Command + Right arrow.

Move to the Document's Beginning or End: 

Command + Up arrow: Start the document from the beginning.

Move the cursor to the end of the document by pressing Command + Down arrow. 

Move by Page: 

Fn + Up arrow: Advances the page by one.

Fn + Down arrow: Scroll the page down.

If headers are defined in the document, move to that heading: 

Right arrow + Control + Command: Go to the following heading.

Left arrow, Control, and Command: Go back to the previous heading.
